An online meeting is a meeting where participants from one location hold a video meeting with participants at another location. This can be done via the Microsoft Teams platform, where presentations can also be shared. For online meetings, a camera under the screen is used, pointing towards the participants in the room.

To ensure the best sound for all participants during the online meeting, we offer setups with either a U-shaped table or a single long/group table for up to 20 people. But be aware of the number of participants in relation to camera angles.

It is important that only one participant speaks at a time to ensure that online participants catch all the details.

A hybrid meeting is a combination of an online meeting and streaming. Here, it is possible to have both physical and online participants who can see and interact with each other and view presentations.

When to use hybrid meetings
A hybrid meeting is ideal if you have physically present speakers who need to speak to both physically present participants and online participants, or if an online speaker wants to see the physically present participants in the room.

A hybrid meeting requires different camera angles, and therefore we have created a button to switch between the two cameras in the rooms (under the screen and on the end wall). If you need to hold a more detailed hybrid meeting, e.g., with switching between more than two cameras and a technician managing all the technology, we recommend an external partner to handle this.

How to do it?
Bring a laptop, mobile, or tablet to monitor the meeting. This ensures that online participants always have access to the meeting, that the sound works, and that you can answer the chat.

Online participants can only hear the sound in the room if it is amplified. Therefore, presenters must use a microphone.

We also recommend using a moderator to manage the handheld microphone for questions from the audience. Microphones are generally included in the room rental – ask when booking.

For hybrid meetings, all room setups are possible. However, be aware of the number of participants in relation to camera angles.
